Best AI for writing emails (and replies that still sound like you)

ChatGPT for everyday emails, Claude for the delicate ones, Gemini if you want it inside Gmail. Grammarly’s free plan is enough for a last check.

The short answer

Use the free ChatGPT for most emails: paste the email you got, say in a sentence what you want to reply, and edit what comes back. Switch to Claude when the email is touchy, like feedback, complaints or saying no. If you’d rather not copy and paste, Gemini writes inside Gmail, but on a personal Gmail account it needs a paid Google AI plan.

Why ChatGPT is enough for most people

Email is the job people keep coming back to AI for. In an r/ChatGPT thread, the poster said ChatGPT gets the tone right in one or two edits and turns a messy paragraph into something they’d send. A second thread had the best tip we’ve seen: talk through what you want to say, paste that rambling in, and ask for a “professional but warm” version. More raw material means it sounds more like you.

Someone in that thread also suggested pasting five or six emails you’ve already sent and asking it to match that voice. Do this once and save the instructions.

Claude for the emails you’re nervous about

A commenter in the first thread put it well: Claude pulls ahead when the email is delicate, because it thinks about the relationship and not just the wording. That matches our experience. Use it for feedback, refunds, apologies and anything going to your boss. On X, one founder’s daily setup had ChatGPT for emails and Claude for building, which is a fair split.

Do you need an email app with AI built in?

Copying and pasting gets old if you answer 30 emails a day, and people in the Reddit threads said so. Gemini writes and summarizes right inside Gmail, but Google says it needs a Google AI plan or a Workspace account. Fyxer goes further and drafts replies in your inbox for you to send, but its pricing page shows that only starts on the paid Pro plan. For most people, a chatbot tab is still the cheapest option that works.

One habit that makes AI emails sound human

Delete the first sentence it writes. It’s nearly always a filler line like “I hope this finds you well.” Then cut anything you wouldn’t say out loud. A Reddit commenter also suggested telling it not to use bullet points or bold headings, which are a giveaway in a short email.

Quick questions

What is the best free AI for writing emails?

ChatGPT’s free plan. Paste the email, say what you want to reply, and edit the draft. Grammarly’s free plan is a good final check.

Is Gemini in Gmail free?

Not on a personal Gmail account. Google says Gemini in Gmail needs a Google AI plan (AI Pro is $19.99 a month) or a Google Workspace account.

How do I make AI emails sound like me?

Paste a few emails you’ve sent before and ask the AI to match that voice. Then cut the first line and anything you wouldn’t say out loud.
