Best AI for small business owners (what actually sticks)

One chatbot for writing, Canva for visuals, Zapier once you know which chore to automate. Most owners don’t need more.

The short answer

Pay for one chatbot, ChatGPT or Claude at $20 a month, and use it for emails, quotes, listings and replies. That’s where owners say AI actually saves time. Use Canva’s free plan for posts and flyers. Add Zapier’s free plan only when you have one boring, repeated task to hand off. Skip anything that promises to run your marketing on autopilot.

Start with writing, because that’s what sticks

When small business owners compare notes, the boring uses win. In an r/smallbusiness thread asking who actually uses AI, drafting email replies was the thing that stuck. A similar thread in r/AiForSmallBusiness found the same: simple workflows lasted, while auto-written social posts and meeting summaries got dropped. People also said to keep a human reading everything before it goes out.

So pick one chatbot. ChatGPT is the all-rounder. Claude writes in a more natural voice if your emails need to sound like you. Either is $20 a month, and the free plans are enough to find out if you’ll use it.

Canva and Zapier, in that order

Canva is where most owners already make their posts and flyers, and its AI tools are built in. On X, one post joked that telling small businesses to use Canva instead of AI misses that Canva is now full of AI.

Zapier is for later. Once you notice yourself copying the same thing between apps every day, like new orders into a spreadsheet, its free plan gives you 100 tasks a month to automate it. In the r/smallbusiness “best AI tools” thread, the tools people valued were the ones that removed small daily chores.

What we’d skip

All-in-one “AI marketing” apps that promise to post for you. Customers can tell, and owners in the threads above say those were the first things they cancelled. Also, don’t paste customer data into a free chatbot without checking its privacy settings.
